Title of Position Payroll Specialist

Basic Responsibilities A. Analyzes, prepares and inputs payroll data
B. Prepares weekly, monthly, quarterly and year-end reports
C. Performs various journal entries, account reconciliations, and provides general ledger support
D. Maintains current knowledge of applicable state and federal wage and hour laws
Essential Duties

Other duties may be assigned. Reasonable accommodations may be made to enable individuals to perform the essential functions.

A. Analyzes, prepares and inputs payroll data
1. Enter all employee payroll related changes, including benefit deductions, tax withholdings, and job change information.
2. Process payroll from start to finish while ensuring accuracy; including remitting direct deposit transmittal to bank and processing paper checks.
3. Maintains tax tables within the payroll system.

B. Prepares weekly, monthly, quarterly and year-end reports
1. Prepare and submit payments for federal and state tax withholdings.
2. Reconcile and submit quarterly 941 and TWC reports.
3. Assist in preparation of annual reports such as W-2s and 1095s

C. Performs various journal entries, account reconciliations, and provides general ledger support
1. Verifies that information feeds properly from the payroll sub-ledger to the general ledger.
2. Performs monthly and annual account reconciliations for all payroll liability accounts.
3. Determines the need for new accounts and revisions in the account structure.

D. Maintains current knowledge of applicable state and federal wage and hour laws
1. Establishing registration for payroll taxes in other states.
2. File required returns for all out of state employees.
3. Staying up-to-date on all state taxes and employees in those states.

Professional Development Requirements

A. Skills
1. 10 key by touch, accurate data entry and accurate spelling
2. Advanced used of Excel, Gmail and Google Docs
3. Must be able to multi-task and remain flexible; priorities in office production can change throughout the work day
4. Excellent troubleshooter and analytical thinker.

B. Training Modules Required
1. Banner Software
2. Payroll certification (American Payroll Association); training and certification must be completed within first two years of job.

Qualifications

A. Professional
1. High School diploma required, some college preferred
2. Five years of work experience in an office environment; minimum six months of experience in payroll processing.

B. Personal
1. Strong technical and process orientation; deadline driven
2. Good oral and written communication skills
3. Patience in explaining complicated payroll issues to employees are unfamiliar with taxation and other payroll concepts.

B. Lifting reports and other documents up to 25 pounds.
