Basic Responsibilities

A. Serve as Veterans’ Certification Officer, advising and monitoring the progress of veterans, preparing and submitting annual and other required reports to VA officials and agencies. Insure that ACU remains in compliance with VA regulations.

B. Serve as secondary NCAA eligibility certification officer, advising and monitoring the progress of student athletes, providing support for athletic personnel and prospective students in the process of evaluating transfers for NCAA eligibility. Assure that ACU remains in compliance with NCAA guidelines.

C. Provide data input, processing, and support for the transfer articulation and admission requirement monitoring functions and processes.

D. Enter transfer credit from official transcripts into student records and ensure that all relevant academic policies are followed in the awarding of transfer credit.

E. Partner with campus offices and academic departments to coordinate accurate entry of co-curricular activities into student records.

Essential Duties

A. Serve as Veterans’ Certification Officer, advising and monitoring the progress of veterans, preparing and submitting annual and other required reports to VA officials and agencies. Insure that ACU remains in compliance with VA regulations.
1. Create and maintain permanent files for all veterans who apply to use VA benefits at ACU, filing the necessary forms for veterans to receive benefits and monitoring the progress of each veteran toward degree completion.
2. Determine applicability of transferred work and/or military training to students’ chosen degree plans, for “block 7" reporting, notifying VA officials of repeated courses, pre-requisite, developmental or leveling (for graduate students) work, full-time or part-time status, changes in student schedules, and progress toward and completion of degree as required by VA.
3. Secure data for preparing and submit annual reports and updates, prepare for annual and triennial audits, communicate with veterans and VA administration on unusual issues or questions.

B. Serve as secondary NCAA eligibility certification officer, advising and monitoring the progress of student athletes, providing support for athletic personnel and prospective students in the process of evaluating transfers for NCAA eligibility. Assure that ACU remains in compliance with NCAA guidelines. Provide assistance to the NCAA Certification Specialist including in these areas:
1.Support the certification of student-athlete eligibility for formal NCAA reports on a timely basis prior to their participation in the activity.
2. Aid in determining athletic eligibility of prospective student-athletes to athletics personnel, including coaches and compliance officers, during the recruiting process.
3. Provide information to athletics about student progress toward degree.

C. Provide data input, processing, and support for the transfer articulation and admission requirement monitoring functions and processes.
1. Process transfer articulation for both current and incoming students.
2. Support the Registrar and Transfer Articulation Coordinator in the process of building the transfer articulation catalog.

D. Enter transfer credit from official transcripts into student records and ensure that all relevant academic policies are followed in the awarding of transfer credit.
1. For undergraduate students who are new to the university or who are taking approved classes during the summer term.
2. For graduate students who are new to the university and may be receiving advanced standing in their degree plan.

E. Partner with campus offices and academic departments to coordinate accurate entry of co-curricular activities into student records.
1. These activities would be included in the categories of: Study Abroad, Internships, Undergraduate Research, and Leadership.
2. Work with the Registrar to develop a co-curricular transcript to provide a student with an official document to verify participation in the included co-curricular activities.

Professional Development Requirements A. Skills:
1. Knowledge of operating on a network system.
2. Knowledge of integrative software, word-processing and Web applications.

B. Training Required:
1. Veterans’ Administration training in certification processes and record-keeping.
2. Extensive training on NCAA rules and regulations.
3. Continuous training on student system upgrades and Web upgrades.
4. Training on Banner’s transfer system, as well as training in Talisma and other campus software packages.
Qualifications The requirements listed below are representative of the knowledge, skill, and/or ability required to perform this job.
A. Professional
1. Bachelor’s degree required.
2. Previous experience with university academic processes preferred.
3. Computer skills, including word-processing and email communication.
4. Analytical skills and knowledge of academic records.
5. Demonstrated ability to work effectively in a collaborative and team environment.
6. Excellent oral and written communication skills.
7. Ability to work with details and follow-through on tasks.
8. Ability to work cooperatively with academic departments, athletic staff and other constituents.
9. Ability to accurately interpret VA requirements and NCAA bylaws; prior knowledge of VA requirements and NCAA bylaws and rules is preferred.

Expectations:
Compliance with NCAA rules is of the utmost importance at Abilene Christian
University. As an individual with responsibilities associated with Athletics department, it is expected that you will have a full understanding of the NCAA rules that pertain to your position. It is also expected that you will comply with these rules, and if you become aware, or have reasonable cause to believe, that a violation of a rule has occurred, you will immediately report it to your supervisor and the Director of Athletics or his/her designee.
