Basic Responsibilities A. Administrative support for the HC and all HC staff
B. Manage the HC budget
C. Record, track and balance student funds received for missions experiences
D. Work with Advancement Svcs to ensure proper handling of student missions
E. Assist in coordinating the work of HC
F. Coordinate various HC events
G. General office and administrative responsibilities
H. Assist planning and running of weekly staff meeting
I. Student Relations
J. Other duties as assigned
Essential Duties

A. Administrative support for the HC
1. Take notes in Team meetings
2. Keep the HC team calendar up to date and coordinate with other calendars
3. Project a positive image for the HC office to the College of Biblical Studies,
ACU, and the general community
4. Collaborate with other ACU offices to manage HC events
B. Financial responsibilities

1. Manage all aspects of donations received for student missions experiences
2. Allocate purchasing cards
3. Balance monthly p-card reports
4. Create requisitions/purchase orders and receiving documents in Banner
5. Keep track of all budgets (HC operational, and any restricted accounts
associated with HC)
6. Create monthly budget reports.
7. Keep HC director apprised of the budget status on a regular basis.
C. Assist in coordinating the work of HC
1. Assist the director with planning, organizing and managing events that happen
regularly on campus related to missions (Weekly missions chapel, Summit
Missions Luncheon, Summit Honorees, etc.)
2. Manage the work of any HC student workers
3. Manage time reports for HC student workers
D. Office responsibilities
1. Schedule meetings
2. Purchase office supplies
3. Mail
4. Purchase for events
5. Make deposits
6. Filing
7. Respond to requests by phone, mail, or email from churches and individuals.
E. Weekly staff meeting responsibilities
1. Agenda
2. Send email reminder
3. Arrange for lunch when appropriate.
4. Record Minutes
F. Public relations
1. Maintain HC distribution list for communications
2. Work with Advancement on HC newsletter and Alumni newsletter
G. Other duties as assigned

Professional Development Requirements

A. Skills
1. Proficiency in Microsoft Word and Excel
2. Bookkeeping and budget experience
3. Reception/front office interface experience

4. Able to multi-task in a small office environment
5. Can work independently and as part of a team
6. Strong organizational skills with ability to pay close attention to details

B. Training Modules Required
1. New Employee Orientation
2. ACU Banner training as needed
3. Purchasing Card
4. Gmail and calendar (if needed)
5. Other training as needed

Qualifications A. Professional
1. Between 2-4 years college
2. 2-5 years administrative experience
3. Business math and advanced written and verbal skills
4. Advanced computer skills
5. Ability to handle confidential and proprietary information
6. Ability to work well in occasionally stressful situations
7. Ability to manage, prioritize multiple tasks
8. Presents professional demeanor to faculty, staff, students and the community

Physical Demands

A. The ability to function efficiently and maintain self-control in stressful situations
B. Ability to sit for extended periods while working at a computer screen or while attending
C. Able to work hours other than regular business hours as needed to complete assigned
tasks, especially during events.
D. Able to travel out-of-town occasionally for short time periods, if required. 

E. Able to carry boxes or other items weighing 10-20 pounds.
