Basic Responsibilities A. Serve as receptionist for the President’s Office.
B. Provide administrative support to the President’s Office.
C. Manage President’s Office and President’s Venture Council budgets.
D. Recruit, hire, train and supervise student employees.
Essential Duties

A. Serve as receptionist for the President’s Office
1. Greet all visitors that come to the President’s office.
2. Receive and screen phone calls. Redirect as needed to the Executive Assistant,
Senior Advisor to the President or other appropriate university staff member.
3. Coordinate student employees’ schedules to ensure front-desk coverage 40
hours per week.

B. Provide administrative support to the President’s Office.
1. Purchase supplies for the President’s Office.
2. Manage Concur (travel system software) for all travel by the President, Senior
Advisor to the President and Executive Assistant.

3. Assist the Executive Assistant, President, and Senior Advisor to the President
with a variety of administrative tasks including mail, email, phone calls, event
planning, and other miscellaneous duties.

C. Manage President’s Office and President’s Venture Council budgets
1. Reconcile all President’s Office purchasing card statements and manage other
budget detail, such as Banner (data system software) reports, journal entries,
deposits, etc.
2. Process expense reports through Concur travel software.
D. Recruit, hire, train and supervise student employees.
1. Determine student employee staffing levels, with approval of Executive
Assistant to the President.
2. Recruit appropriate number of qualified student employees to ensure adequate
coverage at reception desk and to ensure that administrative tasks will be
completed in a timely manner.
3. Hire student employees, with approval of Executive Assistant to the President
and Senior Advisor to the President.
4. Train student employees in all aspects of the daily operations of the
President’s Office and keep the Student Employee Handbook up-to-date.
5. Give work assignments to student employees and ensure they are completed
in a timely manner.
6. Supervise student employees to ensure they are providing exceptional
customer service, are performing their tasks well and are motivated to perform
at a high level.
7. At the end of each month, complete the Monthly Student Incentive Report,
discuss performance and reward accordingly.
8. At the end of each long semester, complete the Student Worker Evaluation,
discuss performance and reward accordingly.

Qualifications A. Professional
1. College degree preferred but not required
2. At least 3-5 years substantive administrative assistant experience is strongly
preferred
