Basic Responsibilities A. Maintains administrative workflow by performing general office, clerical, and
executive support tasks to ensure organizational sustainability.
B. Collaborate with director and team members to devise and implement strategic
administrative improvements.
C. Ensures appointments and schedules are documented for executive personnel.
D. Serve as contact for information on special business events, such as oversight
committee meetings, general team meetings, consortium workshops.
E. Provides information and support to team members by answering questions and
F. Manages and routes phone calls appropriately.
G. Oversee expenditures and work with the accounting department to manage the
NEXT Lab’s budget.
H. Recruit, hire and train new employees based on the organization’s needs.
I. Maintain records and databases of employee information.
J. Create reports and prepare presentations as needed.
K. Make travel arrangements for Director and team members in general.
L. Manage and order office supplies, as well as office equipment.
M. Schedule in-house and external meetings.
N. Monitor and direct incoming mail; prepare outgoing mail for pickup.
O. Greet visitors to the office and direct visitors to the correct location.
P. Other duties as assigned.

    1. High School Diploma or equivalent, degree may be preferred.
    2. Experience in administrative support field.

    1. Exceptional interpersonal and written and verbal communication skills.
    2. Teamwork, and people skills with demonstrable ability to perform effectively in a fast-paced environment.
    3. Detail oriented with ability to work independently.
    4. Demonstrates a high degree of integrity and discretion.
    5. Ability to adapt to frequent change, delays, or unexpected events.
Physical Demands
  1. Office work that that primarily involves sitting/standing.
  2. Ascending or descending stairs to attend meetings.
