Basic Responsibilities
  1. Execute purchase orders for materials in support of engineering projects.
  2. Order ongoing supplies for the facility needed for office work, sanitation and everyday use for operating the facility.
  3. Process receipts against purchase orders in order to facilitate payments through accounting.
  4. Provide ongoing support to various functional areas, as it relates to purchasing or supply chain issues.
  5. Conduct RFQ processes including coordinating clarifications with projects, analyzing quotation response and preparing sourcing recommendations.
  6. Manage the sourcing process, and coordinate, along with QA Manager, the Approved Vendor List (AVL).
  7. Resolve order and billing discrepancies in coordination with accounting and vendors; respond to inquiries on any material received.
  8. Communicate with warehouse/receiving regarding incoming shipments when needed.
  9. Track all material orders and assure they arrive on time.
  10. Monitor and control inventory for all lab materials and office supplies.
  11. Coordinate and provide oversight of contract compliance and vendor performance.
  12. Support basic office duties, such as answering and routing phones, responding to emails, maintaining employee, financial, client and collaborator records, and data entry and reporting.
  13. Answering questions and finding information for employees, collaborators, vendors and clients.
  14. Supporting employees by facilitating interdepartmental communications and interactions between internal and external parties.
  15. Ensuring that the office is well-maintained, organized, and secure.
  16. Provides project support, special events and activities as requested.
  17. Developing and implementing new policies and processes.
  18. Other duties as assigned.
