Basic Responsibilities
  1. Serve as frontline support

  2. Supervise student employees

  3. Maintain department budgets and finances

  4. Serve as the building maintenance support coordinator

  5. Academic Support 

  6. Plan and implement department events

  7. Perform other duties as needed or assigned

Essential Duties
  1. Serve as frontline support

    1. Answer and direct incoming telephone calls, take messages, answer voicemail

    2.  Greet visitors

    3. Direct students to classrooms

    4. Order, receive, and maintain office and classroom supplies

    5. Assist with setting appointments and meetings

    6. Handle incoming and outgoing mail and packages

    7. Copy class material, exams, syllabuses, and course policies

    8. Coordinate with University Marketing to edit and update department web pages

    9. Coordinate the creation and dissemination of other departmental communication pieces 

    10. Maintain current records of department majors and minors and for tracking alumni

  2.  Supervise student employees

    1. Hire, train, coordinate and oversee student employees

    2. Responsible for work areas under their supervision

    3. Oversee student review process: evaluating student employees individually

    4. Have knowledge of all student positions and office equipment use

  3. Maintain department budgets and finances

    1. Process, reconcile, and redistribute payments to faculty, staff and students from multiple funding sources.

    2. Manage procurement and payable documents

    3. Initiate all budget change requests for operating accounts and grants/contracts

    4. Manage purchasing card activity, including reconciliation, security levels, and appropriateness of expenditures.

    5. Assemble data and prepare a variety of reports for faculty and department heads to assist in long and short-term management of funds.

  4. Serve as the building maintenance support coordinator

    1. Coordinate communication between building occupants, Facilities Services & Operations, University Police Department, and any other interests in facility related issues.

    2. Coordinate information to and from SchoolDude regarding Facilities Services and Operations that affect work conditions in the building. 

    3. Coordinate common space usage for events, including afterhours use. 

    4. Maintains key system to the building.

  5. Academic Support

    1. Assist department chairs with accreditation and program review

      1. Provide information to support review and University wide assessment

    2. Assist the department chairs with all new faculty hires 

      1. Provide transcripts and other documents to the Office of Effectiveness

      2. Work with Human Resources and the Adams Center to assist with onboarding new faculty

    3. Administer and/or proctor exams, including placement or course challenge exams.

  6. Plan and implement department events

    1. Plan and coordinate departmental events on and off campus and within the community.

    2. Help maintain budget expenditures and records for each event.

  7. Perform other duties as needed or assigned

Physical Demands
  1. Ability to lift small items (less than 20 pounds) and to bend, stoop, or kneel to access files and other items
