Basic Responsibilities

A. Maintain documentation on all program participants and staff in accordance with grant
guidelines and ACU.
B. Assist the program Director in the management of program financial processes, wide-
ranging reporting and program functioning responsibilities.
C. Provide support to program Director, staff and participants that promotes effective and
efficient provision of program services and office functioning.

Essential Duties

A. Maintain documentation on all program participants and staff in accordance with grant
guidelines and ACU.
1. Sustain proper records and documentation on all participants (new and continuing) as
well as program personnel.
2. Assist in verifying eligibility status of applicants in accordance with grant guidelines.
3. Keep hard copy participant files in order in accordance with grant guidelines.
4. Monitor and consistently update all database information regarding program
participants including but not limited to attendance and stipend amounts.
5. Maintain documentation and record keeping of all participant and parent meetings.
B. Assist the program Director in the management of program financial processes, wide-
ranging reporting and program functioning responsibilities.
1. Assist Director with all documentation for budget in accordance with grant guidelines.
2. Coordinate with Director and staff the planning and scheduling of monthly participant
service activities.
3. Assist in the development and distribution of handouts, newsletters and supplies
needed to carry out program services.

4. Prepare, submit, and maintain proper documentation for travel of all program staff and
participants in accordance with grant guidelines and ACU Accounts Payable office.
5. Make arrangements with Abilene Christian University, A.I.S.D. or other entities for
facilities and supplies needed to conduct program participants and staff professional
development activities.
6. Assist program Director in preparation of Annual Performance Report for U.S.
Department of Education and other reports as required by ACU.

C. Provide support to program Director, staff and participants that promotes effective and
efficient provision of program services and office functioning.
1. Establish effective, efficient office management system in collaboration with
program Director and staff.
2. Assist the program Director and staff in maintaining current information regarding
program enrollment and recruiting details.
3. Assist in the preparation for recruiting sessions as needed.
4. Contact the program participants and parents regarding program meetings.
5. Order maintain and inventory supplies needed for office and participants.
6. Maintain monthly inventory reports on all equipment.

Professional Development Requirements

A. Skills Required
1. Excellent organization and communication skills.
2. Working knowledge of public-school system helpful.
3. Working knowledge of database functions.
4. Understanding of the current technology to develop and maintain proper
documentation of participants and their activities.
B. Training Modules Required: Must have experience or be willing to receive training in:
1. Microsoft Office Software

b. Excel
c. Publisher
2. Google
a. Gmail
b. Google Docs
c. Google Calendar
3. Apple Software

Qualifications

A. Professional
1. Associate degree or certificate. Bachelor’s degree preferred.
2. Two years of relevant experience with disadvantaged students and/or in
educational environments.
3. At least one year of successful office management experience.
4. Advanced knowledge of electronic record keeping and database management
highly desired.
5. Highly developed written and interpersonal communication as well as listening skills.
6. Customer service orientation with sensitivity to disadvantaged populations.
B. Personal
1. Must be highly organized, detail oriented and able to prioritize effectively.
2. Must possess a positive attitude and professional persona.
3. Must be able to work in team/group setting as well as independently.
4. Must be mature, flexible, confidential, responsible and willing to learn new skills.
5. Must be a creative problem solver with optimistic outlook.

Physical Demands

1. Must be able to sit/ work at computer monitor for prolonged periods of time.
2. Must have flexibility to work extended evening hours and Saturdays occasionally.
3. Must be able to manage multiple priorities.
4. Must be able to carry materials up to 30 pounds.
5. Must possess a valid driver’s license with the ability to drive.

6. Must be able to manage high school students with enthusiasm.
