Basic Responsibilities A. Provide administrative support to the Vice President for Advancement
B. Oversee Advancement division budget
C. Coordinate administrative support for the Advancement division of the university
and assist with HR forms and policies for the division
Essential Duties

A. Provide administrative support to Vice President for Advancement
1. Maintain Vice President’s calendar, manage travel, set meetings and plan small
donor events
2. Type correspondence and reports and manage mail merges for thank you letters
3. Hire and supervise student employees
B. Oversee Advancement division budget
1. Track budgets for all departments within the Advancement division and provide
reports to Vice President and Associate Vice President for Advancement
2. Process purchase orders, journal entries, and expense reports; reallocate
purchasing card expenses
3. Maintain accurate files and records.
C. Coordinate administrative support for the Advancement division of the university and
assist with HR forms and policies for the division
1. Handle HR duties, including preparing and submitting PAFs and approving time

2. Work closely with Associate Vice President for Advancement and Advancement
division administrative coordinators
3. Work with Advancement officers to provide or delegate required administrative
support

Professional Development Requirements A. Skills
1. High level of proficiency with Microsoft Word and Excel
2. Strong organizational skills
3. Strong written and verbal communication skills
B. Training Modules Required
1. Banner Advancement and Finance
2. Google Suite, especially calendar, Gmail and Docs/Sheets
3. CRM Advance
4. Concur
5. Pcard
Qualifications A. Professional
1. High school diploma required. Bachelor’s degree preferred
2. Minimum of three to five years of administrative/office management experience
required
3. Budgetary or bookkeeping experience preferred
B. Personal
1. Well-developed interpersonal skills
2. Professional presence and demeanor, deal with deadlines
3. Ability to manage multiple tasks and deadlines with grace and efficiency
4. Discretion with confidential information regarding donors, prospective donors,
and Advancement HR records
Physical Demands A. Sit for long periods of time
B. Set up meeting sites (may involve moving and setting up tables and chairs)
C. May need to lift 25-30 pounds
