Basic Responsibilities

A. Assist the Director and Associate Director with General Program Activities

B. Manage Annual McNair Budget Process

C. Assist in Report Preparation and Recordkeeping

Essential Duties

A. Assist Director with General Program Activities
1. Assist with travel arrangements for McNair staff and guests
2. Make group travel arrangements for national McNair conferences
3. Assist with event planning and preparation

B. Assist the Associate Director with McNair Annual Budget Process
1. Assist with the internal budget entries and provide report to the Director and Associate Director
2. Assist to process ePAFs, etc. as needed
3. Process payment requests, journal entries, etc.
4. Process monthly Pcard reports for McNair staff
5. Prepare expense reports in Concur as needed
6. Consult with finance office to ensure proper budgetary rules and guidelines are being followed according to grant
7. Supervise duties and assignments of office employed student worker(s)

C. Assist in Report Preparation and Recordkeeping
1. Assist with the annual APR report preparation
2. Ensure that all McNair financial transactions are saved in the McNair repository
3. Assist with budget inquiries from ACU administrative offices and the USDOE

Qualifications

A. Professional
1. Bachelor’s Degree or equivalent combination of education and work experience
2. Experience with budgeting, financial reporting and recordkeeping
3. Office management experience
4. Knowledge of U.S. Department of Education documentation and reporting
practices highly preferred.

B. Personal
1. Excellent organization skills
2. Ability to multi-task while working in a moderately stressful environment
3. Must be able to work within the Honors College as part of a team effort

Physical Demands

A.  Ability and valid license to drive a vehicle

B.  Ability to lift up to 25 lbs

C.  Ability to work for an extended time at a computer
