Basic Responsibilities
  1. Manage financial recordkeeping for the center and mission trips.

  2. Oversee front-office operations of the HC.

Essential Duties
  1. Manage financial recordkeeping of office operations and mission trips.

    1. Office Finances:

      1. Allocate and balance purchasing cards monthly

      2. Create requisitions/purchase orders and receiving documents in Banner

      3. Monitor budgets and submit monthly account reports

      4. Receive funds and make deposits

      5. Provide support for filing travel card reports, as needed

    2. Trip Finances:

      1. Record, track, administer, and balance student funds received for missions experiences

      2. Submit payments to vendors and partner organizations

      3. Manage trip leader expense reports

  2. Oversee the front-office operations of the HC.

    1. Handle correspondence (electronic and physical mail)

    2. Receive visitors and phone calls during scheduled hours

    3. Attend and keep minutes during staff meetings

    4. Maintain office functionality (e.g., purchasing supplies, communicating with vendors, etc.)

    5. Interface with students, parents, leaders, and hosts regarding trip details or questions.

Professional Development Requirements
  1. Skills

    1. Strong planning and organizational skills

    2. Attention to detail in paperwork

    3. Proficiency in Microsoft Office & Google Suites

    4. Basic bookkeeping and budgeting experience

  1. Training Modules Required

    1. New Employee Orientation

    2. ACU Banner Training

    3. Purchasing Card Training and Authorization

    4. Slate

    5. Concur

    6. PageUp

    7. Other training as needed

Qualifications
  1. Professional (required):

    1. Ability to learn new computer programs and web-based applications

    2. Discretion in handling confidential information

    3. Manage and prioritize on-going tasks

    4. Present professional demeanor to faculty, staff, students, and the community

  2. Professional (preferred):

    1. Familiarity with bookkeeping

    2. 2+ years administrative experience 

    3. A bachelor's degree

    4. Front office experience

  1. Personal:

    1. Christian character

    2. Organizationally and detail oriented

    3. Independently complete assigned tasks

    4. Collaborative spirit toward teamwork 

    5. Well developed interpersonal skills

    6. Personal discretion and confidentiality

    7. Note: While not required, an interest or history with missions activities will be beneficial for engaging with the work and life of this office. 

Physical Demands
  1. Able to function efficiently and maintain self-control in stressful situations

  2. Able to sit for extended periods while working at a computer screen or while attending meetings

  3. Able to occasionally complete tasks outside of regular business hours as needed, specifically relating to on-campus events.

  4. Able to carry boxes or other items weighing up to 20 pounds.
