Basic Responsibilities

Assists the Executive Director of Nursing (Chief Nurse Administrator) in the daily operations needed for management of ACU’s nursing programs, faculty, staff, administration, accreditation and regulation needs, and special projects. The Administrative Coordinator is responsible to the Executive Director of Nursing within the School of Nursing. The Administrative Coordinator assists the Executive Director of Nursing to ensure the efficient, effective, and productive functioning of the School of Nursing.

● Assist the Executive Director of Nursing in the daily operations needed for management of ACU’s nursing programs, faculty, staff, administration, accreditation and regulation needs, and special projects.
● Provide personal and confidential support to the Executive Director of Nursing, assisting in carrying out a vision for the School of Nursing.
● Facilitate the School of Nursing budgets for the Executive Director of Nursing’s office and for the BSN program, including the management of all purchasing for Abilene residential nursing programs.
● Serve as office manager to the School of Nursing’s administrative suite, overseeing all operations, leading administrative staff, and supervising student employees.
● Act as a liaison for the Executive Director of Nursing, the School of Nursing, the University, and outside constituents.
● Other duties as assigned

Essential Duties

● Assist the Executive Director of Nursing in the daily operations needed for management of ACU’s nursing programs, faculty, staff, administration, accreditation and regulation needs, and special projects.
o Assist in the preparation and distribution of various official communications to the School of Nursing, the university, alumni, students, and the public.
o Assist with operations, documentation, and records management needed to meet accreditation, compliance, and regulation requirements for the nursing unit and in cooperation with human resources and other campus offices.
o Assist in recruiting faculty, staff, and prospective students.
o Manage special projects and assist with events fund-raising, development work, and publicity.
o Serve as building manager for the Zona Luce building and other SON spaces on campus.
o Collaborate with faculty and with other staff to support relationships with clinical partners and stakeholders through management of clinical contracts, support of clinical data management, and responsiveness to input from stakeholders.

● Provide personal and confidential support to the Executive Director of Nursing, assisting in carrying out a vision for the School of Nursing.
o Locate and acquire resources on behalf of the SON and the Executive Director of Nursing, ensuring good stewardship of the School of Nursing’s financial resources.
o Receive, organize, prioritize, and distribute all of the Executive Director of Nursing’s mail as well as mail to other personnel in the School of Nursing.
o Oversee preparation and submission of expense reports for reimbursement as well as providing accounting for corporate Purchasing Cards for nursing personnel on the Abilene campus.
o Assist with travel arrangements and oversee preparation and submission of documentation and reports for Executive Director of Nursing’s travel, including accounting as required
o Draft and prepare correspondence and documents for signature.
o Supervise the scheduling and maintenance of the Executive Director of Nursing’s calendar
o Attend Administrative Coordinator meetings, and implement information from Provost as needed.

● Facilitate the School of Nursing budgets for the Executive Director of Nursing’s office and for the BSN program, including the management of all purchasing for Abilene residential nursing programs.
o Monitor budget progress and schedule meetings to review progress as needed.
o Maintain and provide data to support budget transactions and decisions, collaborating with Financial Operations as needed.
o Facilitate expenditures from the Operational and Instructional budget through university processes, including processes required for non-recurring expenses such as Capital expenditures.
o Support the Executive Director of Nursing by generating financial reports and data needed to ensure accurate and timely communication regarding budget issues.
o Collaborate with Advancement as needed, maintaining and communicating gift reports
o Collaborate with the Office of Research and Sponsored Programs (ORSP) for management of School of Nursing grant programs and research opportunities, including required reporting on grant funds

● Serve as office manager to the School of Nursing’s administrative suite, overseeing all operations, leading administrative staff, and supervising student employees
o Hire and schedule all student employees in the School of Nursing administrative suite.
o Support processes for Professional Development and maintenance of records for professional development, licensure, certification, employment files, etc.
o Perform evaluations for all student employees at the end of each semester with input from the Executive Director of Nursing
o Approve time sheets as delegated by the Executive Director of Nursing
o Manage the day-to-day operation of the Executive Director of Nursing’s office, delegating tasks as necessary.
o Monitor and evaluate office functions for efficient, effective service.
o In consultation with the Executive Director of Nursing and BSN Department Chair, implement office policies to improve the quality of service provided to program constituents.

● Act as a liaison for the Executive Director of Nursing, the School of Nursing, the University, and outside constituents.
o Serve as liaison between the Executive Director of Nursing and faculty concerning personnel and other administrative matters.
o Provide guidance and direction to the Executive Director of Nursing’s office staff regarding the daily operations of the School of Nursing.
o Exercise discretion and judgment in handling student, faculty, and staff requests to determine the best solution and course of action.
o Serve as a communication link with the Executive Director of Nursing on all matters pertinent to his/her job performance and the success of the School of Nursing.

Qualifications

● Professional:
o College degree preferred. A minimum of two years of college and courses in office administration and business management or six years of related experience is preferred.
o Minimum of five years of responsible experience preferred in office management and administration at the supervisory level, preferably in a university environment.
o Strong keyboarding skills, a minimum speed of 60 words per minute preferred.
o Ability to handle confidential and proprietary information.
o Excellent verbal and written English communication skills: grammar, spelling, and proofreading skills.
o Ability to learn new technology
