Title of Position Associate AD for Business Operations

Basic Responsibilities
  1. Oversee and manage all athletics department business office and HR operations.

  2. Serve as liaison for other campus offices as it relates to business and finance matters.

  3. Take lead on departmental audits and reports affiliated with ACU Athletics.

Essential Duties
  1. Oversee and manage all athletics department business office and HR operations.

    1. Train, manage, and lead one FTE, one part-time and one student position to ensure efficient and accurate business office operations.

    2. Oversight of daily processes related to accounts payable/receivable, travel expenses, and revenue deposits, etc. 

    3. Assist in budgeting, tracking, and projecting of athletics budgets including individual teams/units.

    4. Assist Deputy AD in long-term planning and ad-hoc projects.

    5. Oversight of athletic Concur travel office operations and Concur travel office relationship to ensure appropriate reconciliation.

    6. Oversight of athletics HR functions and operations – primarily as it relates to budget impact. 

    7. Provide direction and assist in of management of digital record keeping (game, employee and vendor contracts, data required for audits, etc.)


  1. Serve as liaison for other campus offices as it relates to business and finance matters. 

    1. Maintain strong relationship with campus finance office while serving as the analyst for the athletic department.
    2. Attend other campus office meetings as needed to maintain up to date information as it relates to athletics budget. 

     

  1. Take lead on departmental audits and reports affiliated with ACU athletics.

    1. Prepare financial documents for yearly NCAA AUP. 

    2. Prepare documents for yearly Conference Salary Survey. 

    3. Prepare documents for yearly EADA report.

    4. Prepare documents for other reports as necessary. 

Professional Development Requirements
  1. Skills  

    1. Strong spreadsheet and word processing software skills
    2. Strong organizational skills

    3. Ability to effectively communicate both verbally and in writing.

    4. Ability to manage multiple projects and adhere to deadlines.

    5. Strong analytical and problem-solving skills

     

  1. Training Modules Required

    1. Technology training by university.
    2. Banner, Discover, Google Suite etc. 

    3. Concur Travel 

    4. Microsoft Word and Excel

     

Qualifications
  1. Professional

    1. Bachelor’s degree in business, accounting or finance
    2. Experience in budget preparation and management or related field.

    3. Higher education experience preferable

     

  1. Personal

    1. Excellent organizational skills and attention to detail.
    2. Well-developed interpersonal skills.

    3. Proactive approach. Ability to think outside the box and provide ideas and solutions to challenges. 

    4. Accurate, reliable, honest and uses discretion when necessary. 

    5. Ability to adapt to changes in work pace and flow.

    6. Professional appearance and positive attitude that represents the department well.

A. Ability to multi-task, maintain several activities at a time.

C. Light lifting of mail deliveries and office records storage.
