Basic Responsibilities A. Provide academic support for Doctor of Ministry students and faculty.
B. Provide administrative support to the Siburt Institute for Church Ministry.
C. Provide direct executive assistance to the vice president for church relations.
D. Perform a variety of administrative duties as required by the daily operations of the Doctor of Ministry program and Siburt Institute for Church Ministry.
Essential Duties

A. Provide academic support for Doctor of Ministry students and faculty.
1. Process academic forms, monitor students’ academic progress, and support billing and scholarship processes.
2. Take care of necessary arrangements for short courses.
3. Assist with admission and orientation processes for incoming students.
4. Maintain student and alumni records.

B. Provide administrative support to the Siburt Institute for Church Ministry.
1. Support the vice president/executive director, associate director, and assistant director with the work of the institute.
2. Coordinate contracts, invoicing, and payments for consultants, contractors, and program participants.

C. Provide direct executive assistance to the vice president for church relations.
1. Manage travel arrangements and expenses for the vice president.
2. Maintain appointment schedules and arrange meetings for the vice president.
3. Provide professional phone coverage during business hours.

D. Perform a variety of administrative duties as required by the daily operations of the Doctor of Ministry program and Siburt Institute for Church Ministry.
1. Manage budgets and purchasing cards for the Doctor of Ministry program and Siburt Institute for Church Ministry.
2. Assist with general office work such as photocopying, filing, scanning, and errands.
3. Maintain appropriate levels of office supplies.
4. Collaborate with and represent ACU to numerous offices, organizations, and individuals both on- and off-campus.

Professional Development Requirements

A. Skills
1. High proficiency in Microsoft Word and Excel required. Proficiency in PowerPoint and Publisher preferred.
2. High proficiency in Google Drive (Docs and Sheets), Calendar, and Email (Gmail) required.
3. High-level skills in business writing required. Must exhibit strong abilities in spelling, grammar, and style.

B. Training Modules Required
1. Adobe Sign (electronic forms)
2. Smartsheet (project management software)
3. Banner (internal software)
4. Canvas (online learning management system)
5. Concur (travel and expense management)
6. TouchNet (online store)

Qualifications

A. Professional
1. Minimum of five years’ work experience in comparable position preferred.
2. Experience in a university setting a plus.

B. Personal
1. Strong organizational skills and high attention to detail.
2. Ability to complete tasks and projects independently and responsibly.
3. Strong verbal and written communication skills.
4. Discretion and good judgment when handling confidential information.
5. Friendly demeanor.
6. Ability to multi-task in a fast-paced office environment and manage complex projects.

Physical Demands A. Able to carry boxes or other items weighing 15-20 pounds.
B. Able to work extra hours on an as-needed basis.
C. Able to work at a computer or sit in meetings for hours at a time.
D. Must function efficiently and maintain self-control in stressful situations.
