Basic Responsibilities

● Monitor daily project progress 

● Manage and communicate detailed project statuses 

● Resource management 

● Deadline and workflow management 

● Organize and manage documentation 

● Meeting planning and logistics
Essential Duties

1. Monitor daily project progress 

● Keep track of the daily progress of assigned projects, identifying any potential issues or delays. 

● Proactively communicate with team members to ensure tasks are being completed according to schedule.

2. Manage and communicate detailed project statuses 

● Prepare and deliver detailed updates to marketing team members and other stakeholders on project status, including milestones achieved, challenges faced, and any adjustments to timelines or resources. 

● Maintain strong relationships with key stakeholders and points of contact through regular check-ins. 

● Facilitate post-project reviews and feedback and coordinate with team members on integrating into future project planning and execution. 

3. Resource management 

● Work closely with team members to ensure they have the necessary resources, tools, and support needed to complete their assigned tasks within budget limits and deadlines. 

● Coordinate with relevant departments to address resource needs as required.

4. Deadline and workflow management 

● Manage project deadlines and workflow by creating schedules, setting milestones, and tracking progress. 

● Identify bottlenecks, potential risks, and areas where workflow can be optimized and implement solutions to improve efficiency. 

5. Organize and manage documentation 

● Maintain organized project documentation, including reports, files, assets, and agendas, for easy access by team members and stakeholders. 

● Build and maintain shared drives and servers for the team 

6. Meeting planning and logistics 

● Schedule and proactively plan meetings, both internal and external, related to project activities. 

● Ensure action items, responsibilities, outcomes, etc. are accurately documented and shared with participants and stakeholders following project meetings.

Professional Development Requirements

● Skills 

○ Proven experience in project coordination or a similar role, preferably in a fast-paced environment. 

○ Excellent communication and interpersonal skills, with the ability to collaborate effectively with team members and stakeholders at all levels. 

○ Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage time efficiently. 

○ Proficiency in project management software and Google Suite. 

○ Knowledge of project management principles and methodologies is a plus.

● Training Required 

○ Ongoing CPE 

○ Regular reading in higher education and marketing publications 

○ ACU network programs: Concur, Banner, etc. 

Qualifications

Professional 

● Bachelor's degree in Project Management, Business Administration, Marketing, or a related field preferred but not required 

Personal 

● Experience managing multiple priorities 

● Ability to adapt to changing priorities and work under pressure to meet deadlines

● Detail oriented

Physical Demands

● Work is performed in an office environment; must have the ability to sit for long periods of time (4-6 hours) 

● The strong preference for this role is that it would be in-person on the Abilene campus. A hybrid role may be considered for extremely strong candidates.
