Basic Responsibilities

The Student Success Manager is primarily responsible for student-facing and programmatic activities and events, including but not limited to:
1. Supporting BSSW and MSSW students through the entire cycle of their engagement at ACU, including recruiting, admissions, program completion, professional advising, and alumni relationships.

2. Working closely with the respective program directors to schedule and lead events for the School, including recruitment, programmatic, retention efforts, career development, and alumni recognition.
3. Creating an inclusive and welcoming environment that prioritizes retention efforts.
4. Supporting the functional management of the School, including records keeping, financial management, oversight of student workers, and assist faculty and director in tasks other related to performance of academic and administrative duties.

Essential Duties

Supporting BSSW and MSSW students through the entire cycle of their engagement at ACU, including recruiting, admissions, program completion, professional advising, and alumni relationships.
a) Engage with new incoming freshmen and graduate students
i. Conduct individual meetings
ii. Manage correspondence before their first semester
b) Develop and execute recruitment and retention plans
i. Manage coordination of retention events for freshman/sophomore undergraduate students and first year graduate students
ii. Manage coordination of professional advising for junior/senior undergrad students and advanced year graduate students
c) Facilitate award nominations of students at the university level
d) Conduct semesterly meetings (30 minutes) with all students
i. Partnering with centralized advisors and noting progress toward degree requirements
ii. Assessing spiritual/emotional well being
e) Assist student organizations with maintaining their operations
f) Serve as liaison between School and Alumni Relations
i. Manage alumni tracking database and record-keeping related to graduates
ii. Facilitate alumni surveys and data to assist with recruiting and marketing efforts

2. Working closely with the respective program directors to schedule and lead events for the School, including recruitment, programmatic, retention efforts, career development, and alumni recognition.
a) Host tours on Visit/Preview Days and other recruitment events as needed
i. Schedule and manage calendar
ii. Develop marketing script to showcase the school
iii. Train and supervise students to assist with recruitment events.
iv. Manage communication with prospects and faculty
b) Coordinate BSSW program admission requirements and MSSW admissions processes
i. Maintain current list of inquiries and application status
ii. Communicate admission and financial aid decisions to prospective graduate students
iii. Staff Undergraduate and Graduate Admissions Committees, including managing packets, scheduling meetings, maintaining minutes
c) Facilitate event management for various high-profile activities
i. Welcome events
ii. Culp Lectureship
iii. Holiday student events (Friendsgiving, etc.)
iv. Faculty pre-sessions
v. Graduation dinners and other celebrations
d) Support key travel programming
i. Mission or study abroad trips
ii. Student research presentations
e) Coordinate advisory council meetings bi-annually
i. Work with director and program director to finalize and communicate agenda
ii. Support the “day of” visit: schedule, food, tours, meetings, etc.
f) Coordinate high school outreach with faculty
g) Coordinate professional advising and career development events with faculty
h) Facilitate internal communication through frequent emails, blog posts, social media posts, newsletters
i) Coordinate and plan various Chapel experiences
j) Attend events in which students are involved

3. Creating an inclusive and welcoming environment that prioritizes retention efforts.
a) Initiate the execution of recruitment and retention plans that are tailored to the needs of students
b) Create mentoring relationships with students
c) Ensure the office spaces are welcoming, accessible, and well-organized

4. Supporting the functional management of the School, including records keeping,financial management, oversight of student workers, and assist faculty and director in tasks other related to performance of academic and administrative duties.
a) Oversee consistency in catalog and program updates throughout handbooks,
degree plans, marketing documents, etc.
b) Ensure record keeping is up-to-date and secure
c) Support the director in budget and financial management
i. Initiate PAFs for adjuncts, student workers, graduate assistants, contractors, etc.
ii. Manage budget revisions and transfers
iii. Coordinate purchasing card activities
1. Maintain receipts and supervise student workers who assist
2. Manage reallocations to proper budget lines
d) Supervise student workers and graduate assistants
i. Hiring, onboarding, ongoing training, prioritizing work, delegating responsibilities, approval of time, etc.
e) Maintain administrative calendars with all School, College and University deadlines and initiate coordination to completion
f) Manage any Interprofessional Education (IPE) or profession-specific credits, badges, etc.
g) Coordinate with facilities for necessary building maintenance and cleaning
i. Recycling, shredding, and supply organization
ii. Ensuring classrooms and offices have necessary materials and supplies
iii. Reporting security, risk management, and safety issues
h) Oversee the equipment operation and maintenance of the offices

Professional Development Requirements  Bachelor’s degree, preferably in social work or a related field; Candidates with a master’s degree are encouraged to apply;
 Two years of experience in an area consistent with the expectations of this job highly preferred;
 Experience in executing event-planning and social media strategies;
 Demonstrated ability to collaborate and communicate in both verbal and written formats; and
 Computer competency, with knowledge of, or ability to learn quickly, new technologies and software packages.
Qualifications

The Student Success Manager must be a skilled communicator who demonstrates strong task management and event-planning abilities. The Student Success Manager must also exhibit keen initiative, creativity, and problem-solving skills and work effectively with others to support the faculty and students in developing a cohesive and welcoming culture, especially outside of the classroom (e.g., implicit curriculum).

 Ability to express care and discretion when navigating complex student situations.
 Exhibits critical thinking and ability to take initiative.
 Capacity to create an inclusive and welcoming environment for all students, prospective students, and parents.
 Organized and able to manage multiple activities simultaneously.
 Detail oriented and able to independently manage and prioritize competing objectives.
 Exhibits an effective public presence, clear and productive communication, and ability to build effective working relationships.
 Exhibits a standard of ethical behavior, discretion, and respect confidentiality in handling information related to the University, the School of Social Work and its faculty, staff, and students.
 Manages time that promotes functioning productively under pressure in a busy office atmosphere.

Physical Demands  Ability and energy to physically negotiate the ACU campus and its buildings.
 Sitting and computer posture for periods of up to 30 minutes at a time.
 Lifting/moving of office-related items for operations or events (up to 15 lbs.).
 Physical capabilities to engage in all responsibilities and essential duties identified in this position description.
